Job Description
A Lead Business Operations Associate is an active participant and mentor of the team that identifies the need to resolve a query and prioritise in order of importance to meet customer needs. The Lead BOA uses technical and professional knowledge, knows how to build effective work relationships based on task completion and demonstrates patience despite setbacks. A Lead BOA inspires team members to drive for results to maximise the impact of cash flow into the business.
Key Responsibilities
Account Management
- Accountability for managing and quality checking all transactions posted to assigned EMEA sales ledger.
- Develops and enhances strong customer relationships to ensure positive cash flow and by ensuring proper documentation (purchase orders, etc.)
- Accountable for obtaining prompt payment of due invoices
- Provide and coach to excellent customer service through resolving queries where necessary – this includes working closely with the sales team and other support partners
- Participate in regular ledger reviews and resolution of issues arising within agreed timescales
Business Acumen, Reporting, and Process Understanding
- Oversee and ensure operational compliance to policies and procedures, and identify best practice operating processes
- Responsible for process improvement, the development and implementation of new processes and project delivery
- Demonstrates subject matter expertise in key systems and processes in order to drive results across the team
- Hold regular business information team meetings to obtain up to date information on client account operations
- Analysis to include but not limited to status of accounts, recovery report, high risk, resource to client account category ratio, headcount reporting, unbilled reporting, cash items and project reporting
- Reconcile assigned customer accounts; examples include purchase order customer spend versus cash collections, self-billing accounts billed versus contractor timesheets, etc. when required
- Ensure signed customer terms and conditions are in place before trading
- Produce credit notes and invoice requisition forms in line with predefined processes
- Collect cash from customers in line with customer contractual terms and company processes when required; ensure timely resolution of applied cash receipts
- Provide accurate and timely data for client and internal reports
- Setup and maintenance of customer accounts when required
- Carrying out of such ad-hoc tasks as required
Customer Focus and Communication
- Responsible for the provision of the highest level of customer service to all Business Operations stakeholders including our prized external customers
- Be knowledgeable of key systems and processes in order to assist the business in accomplishing company goals.
- Escalation point and support liaison for customers
- Primary contact and account manager for a selection of our clients (our portfolio includes a multitude of FTSE 100 companies and global businesses)
Team management and development
- Accountable for the professional development of others in the Business Operations Associate role
- Responsible for delivering business communications, through the provision of timely feedback and weekly/quarterly performance evaluations
- Accountable for the coaching, leading, and development of Business Operations Associates
- Set goals and objectives for the Business Operations Associates to align with the business and drive quarterly team targets
- Supports and participates in designing, implementing and enforcing policies and procedures, as well as streamlining effective standard operating procedures across multiple regions and brands
- Builds a team of highly proficient Business Operations Associates to be subject matter experts for your business area
Qualifications
- Previous and enhanced experience in Credit Control and (or) Billings required
- Experience in leading of a small team preferred
- Experience of working with EMEA based clients
- Enhanced problem solving skills ā eagerness to work through complexity and uncertainty
- Strong knowledge of Excel and MS Office
- Effective coach and mentor experience
